Workflow Manager

The Workflow Manager allows authorized users to view and manage workflows configured in Intelligent Process Automation (IPA). From the Workflow Manager, users can view workflow details, filter workflows, search for a specific workflow, and enable, disable, or edit workflows based on their current status.

Access Workflow Manager

To open Workflow Manager:

  1. Navigate to Administration.
  2. Select Intelligent Process Automation.
  3. Select Workflow Manager.

The Workflow Manager displays the workflows configured in the system as individual workflow cards.

Workflow Summary

The top of the Workflow Manager displays summary information about the workflows configured in the system.

The available summary metrics include:

  • Total Workflows – Displays the total number of workflows.
  • Active Workflows – Displays the number of workflows currently active.
  • Executions Today – Displays the number of workflow executions for the current day.
  • Success Rate – Displays the workflow execution success rate.

These metrics provide a quick overview of the current workflow configuration and execution status.

Filter and Search Workflows

The Workflow Manager provides filtering and search options to help users locate specific workflows.

Entity Selection

Use the Entity Selection dropdown to filter workflows based on the selected operation or entity type.

Select Status

Use the Select Status dropdown to filter workflows by their current status.

Available statuses include:

  • All – Displays workflows regardless of their status.
  • Active – Displays workflows that are currently enabled.
  • Inactive – Displays workflows that are currently disabled.

Search Entity

Use the Search Entity field to search for a specific workflow using information such as its name, entity, or type.

The workflow list is updated based on the selected filters and search criteria.

Workflow Status

A workflow can have one of the following statuses:

Active

An Active workflow is enabled and can execute when its configured trigger conditions are satisfied.

For an active workflow, the available actions include:

  • Edit
  • Disable

Inactive

An Inactive workflow is disabled and does not execute until it is enabled again.

For an inactive workflow, the available actions include:

  • Enable

Workflow Manager Overview

Each workflow card provides key information about the workflow, including:

  • Workflow Name – Displays the name assigned to the workflow.
  • Entity – Identifies the entity associated with the workflow, such as CASE or OWL EMAIL.
  • Type – Displays the workflow execution type, such as CONTINUOUS.
  • Status – Indicates whether the workflow is currently ACTIVE or INACTIVE.
  1. Update the required workflow fields.
  2. Review the modified configuration.
  3. Click Update Workflow to save the changes.

The updated workflow configuration is applied to the existing workflow.

Edit a Workflow

Use the Edit button on a workflow card to modify an existing workflow.

When you select Edit, you are redirected to the Create Workflow page. The existing workflow configuration is automatically pre-populated, allowing you to review and update the required fields.

You can modify the applicable workflow details, trigger conditions, and workflow actions.

To update the workflow:

  1. Review and modify the required fields.
  2. Verify the updated workflow configuration.
  3. Click Update Workflow to save your changes.

The changes are applied to the existing workflow after the update is saved.

Enable a Workflow

To enable an inactive workflow:

  1. Locate the required workflow in Workflow Manager.
  2. Verify that the workflow status is INACTIVE.
  3. Select Enable.
  4. The workflow becomes ACTIVE and can execute when its configured conditions are satisfied.

Disable a Workflow

To disable an active workflow:

  1. Locate the required workflow in Workflow Manager.
  2. Verify that the workflow status is ACTIVE.
  3. Select Disable.
  4. The workflow becomes INACTIVE and no longer executes until it is enabled again.
