Managing software licenses and product usage across a large organization can be difficult without centralized visibility. Administrators need to know:

  • Which licenses are available and allocated.
  • How much storage is being consumed.
  • Whether application credits are nearing their limits.
  • Which users are actively consuming licensed resources.
  • Whether additional licenses or storage will be required.

The Subscriptions page in OWL Administration provides administrators with a centralized view of the organization's software subscriptions, license allocations, and product usage.

Administrators can:

  • View the organization's software edition.
  • View subscription start and end dates.
  • Review subscription status.
  • See all licensed products included in the subscription.
  • View the number of purchased licenses for each product.
  • Monitor organization-wide usage statistics.
  • Track storage consumption and application credits.
  • Review individual user resource utilization across OWL products.

This helps administrators effectively monitor subscription utilization, ensure license compliance, and plan future capacity requirements.

The Subscription page is read-only for administrators.

Administrators should periodically:

  • Monitor license utilization.
  • Review storage consumption.
  • Track application credit usage.
  • Identify inactive users consuming licensed resources.
  • Plan license upgrades before capacity limits are reached.

The OWL Subscriptions page consolidates all subscription and usage information into a single dashboard, enabling informed administrative decisions.

Role Access
Super Admin Can view organization subscription details, software edition information, license allocations, and usage statistics for all users across the organization.
Administrator Can view organization subscription details, software edition information, license allocations, and usage statistics for all users across the organization.
Team Admin Can view organization subscription details, software edition information, license allocations, and usage statistics for all users across the organization.
User No access.
Read-Only Collaborator No access.

This helps organizations to...

  • Monitor software license allocation across claims investigators, adjusters, and fraud analysts to ensure the right users have access to the required OWL modules (Insurance Claims Investigations). 
  • Track storage usage for claim documents, supporting evidence, extracted files, and AI processing credits to optimize subscription resources (Special Investigation Unit (SIU) Cases).
  • Monitor license and application usage across investigative teams handling digital evidence, intelligence analysis, document extraction, and translation services to support operational planning (Criminal Investigations). 
  • Centrally manage subscription utilization, storage capacity, and product consumption across departments or agencies, helping administrators forecast future licensing needs and maintain compliance with organizational subscription limits.

How the Subscriptions Module Interacts with Other Features

The Subscriptions module integrates with several OWL components:

Module Interaction
OWLdocs Documents uploaded and stored in OWLdocs consume OWL Data Storage, which is reported as storage usage.
OWLxtract Tracks document extraction credits consumed by users.
OWLidentify Displays image identification usage against allocated credits.
OWLtranslate Displays translation credits consumed by users.

How to View Subscription Details

  1. Navigate to Administration.
  2. Under OWL Admin, select Subscriptions.
  3. The Subscriptions page opens.

The Subscriptions tab provides information about the organization's licensed products.

Administrators can view:

  • Software Edition
  • Subscription validity period
  • Current subscription status
  • Product names
  • Number of allocated licenses for each product

This information helps verify the organization's licensed products and purchased capacity.

View User Product Usage

Scroll to the OWL Product Details section on the Usage Statistics page.

For each user, administrators can view:

  • Username
  • Account Status
  • License Type
  • Assigned Role
  • Last Activity Date
  • OWLxtract usage
  • OWL Data Storage usage
  • OWLidentify usage
  • OWLtranslate usage

This provides complete visibility into how licensed resources are being consumed across the organization.
