Managing Subjects

The Subject Status field is mandatory and will be clearly indicated as such when users create subjects within the Case Management module.

In the OWL platform, system-defined statuses—such as Open, Pending, Closed, Archive, and Delete—play a vital role in managing the lifecycle of subjects or records. Each status is purpose-built with specific behaviours to support structured workflows, maintain data integrity, and ensure operational control.

 

By leveraging these predefined statuses with built-in access controls, OWL helps organizations: 

  • Maintain consistent and reliable data
  • Meet compliance and regulatory standards 
  • Streamline workflows and improve collaboration
  • Enable accurate reporting and secure data handling

    Key Points:

  • Subject statuses are system-defined and cannot be modified.
  • Each status serves a distinct purpose with a clear description. 
  • Subjects marked as Open or Pending can be actively edited and used. 
  • Subjects with a Closed status are read-only and cannot be modified. 
  • Subjects marked as Archive or Delete can be edited, but Deleted records are hidden from the standard view/edit interface and are only accessible via the Admin Trash Bin.page174_img1.png
