When documents uploaded into OWLdocs are processed, they are converted into structured records and stored within OWLvault.
During document processing, the system requires a Data Source to be specified. The Data Source is used to classify, organize, and group processed records within the platform.
These records can later be used for:
- Data visualization
- Record analysis
- Investigation workflows
- Reporting and analytics
Access to the Files by Data Source module is controlled based on the user’s license type and assigned department or team:
- Admin and Super Admin license type users can access and export records from all departments across the organization.
- Admin Team and Admin Team User license type users can access and export documents related only to their assigned team or department.
- User Full license type users can access and export documents belonging only to their own department.
Steps to View Records from Imported Files by Data Source:
- Navigate to OWLdocs -> OWL Vault(s)
Open Files by Data Source.
- Select a Data Source from a list of available data sources.
- The system displays all processed documents associated with the selected data source.
- The following actions are available for each processed document:
- Edit Records
- Edit Status
- Attach / Detach Record
- Download
- Legal Hold
- Transfer File
- Delete
- Launch
