Organizing & Transferring Documents

Files uploaded into OWLdocs can be organized by Datasource or into manually created folders. Additionally, any databases created by import processes are separated for easy reference. Files can be transferred between manually created folders (and sub-folders), with the appropriate user permissions.

 

Files by Data Source

File by Data Source is a section located within the OWLdocs menu that offers convenient access to files grouped by their associated Data Source. 

To view files by Data Source: 

1. Navigate to OWLdocs from the OWL header.

 2. In the left-hand menu, under the All-Folders section, select File by Data Source. 

3. This section displays all existing Data Sources currently linked to files.

4. Clicking on a Data Source name will display all files associated with that Data Source.

5. While doing an OWL import of a file, if the file headers do not match the file headers of the already processed file headers defined under the same data source, then the OWL import process will not be allowed. OWL import will be allowed only after changing the data source to a new one. 

6. All the OWL imported files under a single data source should have the same headers.

 

Databases by Data Sources

The Databases by Data Sources section is designed to display all individually processed OWL import records from various files that share the same data source.

 How to Use Databases by Data Sources: 
1. Navigate to OWLdocs via the OWL header menu. 

2. On the OWLdocs page, locate the Databases by Data Sources section in the lower-left corner. 

3. This section lists all data sources that have been created or are available within OWL, specifically those linked to OWL-imported files.

4. Clicking on a file will take you to the Import Record page, where all records with matching headers are displayed. 

5. You can filter records within a specific data source using Case, Subject, and Attribute filters. 

6. The Data source list and the data are displayed based on the collaboration rules and license.

Transfer File

Utilizing the Transfer File option allows the transfer of a file from its current folder location to another folder location. 

If you are not able to transfer a file, have your organization administrator check your in-app permissions.

 

Steps to Transfer a File: 

1. Click the action menu under the Action column. 

2. Click Transfer File.

3. This will open the Transfer File window, where all available folders created under your profile can be seen. 

4. The left side will show all the folder details, and the right side of the window will display the transfer file's complete details. 

5. Select any folder from the available list except the folder where the file is already present.

6. Once selected, Transfer File will be enabled. 

7. Click Transfer File to complete this action. 

8. Now the file will be transferred to the new folder location.
