OWL License Types-
License Types define a user’s access within the OWL Intelligence Platform. Users with license names ending in “-User” have access to modules, depending on your agency’s software edition and the module & views setup within the Administration User/Role settings.
License Type and Description on Access to Organization Records:
Super Admins - An agency will have only one Super Admin and may choose one of the following for the Super Admin's license type:
Super Admin: This user will be the agency’s main point of contact during implementation and other account-related management. This license type does not have user functionality.
Super Admin - User: This user will be the agency’s main point of contact during implementation and other account-related management and is also a user on the account. This license type has full user functionality.
Administrators- There are four different Administrator license types. An agency can have more than one across all license types depending on the number of licenses purchased.
Administrator- This user has full viewing and editing of the agency’s platform with the exception of having the ability to edit the primary contact’s information. This license type does not have user functionality.
Administrator - User: This user has full viewing and editing of the agency’s platform with the exception of having the ability to edit the primary contact’s information. This license type does have user functionality.
Administrator Team- This user is the Administrator of any assigned departments/teams. This user only has reading capabilities of the agency details and policies/compliance and viewing and editing capabilities of all other settings for its designated departments/team. See chart for further detail. This license type does not have user functionality.
Administrator Team- User: This user is the Administrator of any assigned departments/teams. Supervisors- There are two different Supervisor license types. Each can be assigned to departments/teams.
Supervisor- Most of this user’s access is read only. See chart for further detail. This license type does not have user functionality
Supervisor - User: Most of this user’s access is read only. See chart for further detail. This license type does have user functionality
Users- There are two different User license types. These license types do not have the ability to view or edit data or settings within the Administration module.
User - Full: Based on the Information Sharing- Collaboration and role specific permissions setup within the Administration module, this user has access to their own and other records and can complete work within the Case Management, Monitoring, OWLdocs, Collaboration, and Query Data modules.
User - Read Only: This user has read-only access to all department records and collaborated records as per the Administration collaboration set-up.
Collaborators- There are four different Collaborator license types. These license types allow both internal and external users to collaborate across departments/teams.
Collaborator - Read Only: This user has read-only access to all collaborated records as per the Administration collaboration set-up. This is an Internal user.
Collaborator - Read Only - No Web Access: This user has read-only access to all collaborated records as per the Administration collaboration set up under the department users. This user does not have web access. This is an Internal user
External Collaborator - Full: This user has viewing and editing access to the collaborated records based on the collaboration setup by the Administrator or Supervisor. This is an external user.
External Collaborator - Read Only: This user has read-only access to the collaborated records based on the collaboration setup by the Administrator or Supervisor. This is an external user.
Data Entry: This user can only create/update initial/pending records based on the department/role level collaboration setup in the Administration module. This user cannot perform searches or make changes to existing records belonging to different record owners. (Future Implementation)
Information Sharing: This user only has access to create/update information-sharing records. This user cannot make changes to existing information sharing linked to a case with different record owners. (Future Implementation)
